Nexora Freight Solutions Ltd. (“Nexora”, “we”, “us” or “our”) is an Alberta corporation providing freight transportation, warehousing, cross-docking and distribution services. We are committed to protecting personal information in accordance with Alberta's Personal Information Protection Act (PIPA) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
This policy explains what personal information we collect through our website (www.nexora-freight.com) and in the course of providing our services, why we collect it, how we protect it, and the choices you have.
1. Personal Information We Collect
Information you provide to us
- Quote and contact requests: name, company, email address, phone number, service required, and shipment details you include in your message (pickup and delivery locations, freight type, weight, timing).
- Service and account information: billing contacts, delivery addresses, signatures on proof-of-delivery documents, and correspondence with our dispatch team.
- Communications: emails, phone calls and messages exchanged with us, including via WhatsApp or social media if you choose to contact us there.
Information collected automatically
- Website usage data: IP address, browser type, device type, pages visited and referring pages, collected through standard server logs and any analytics tools we use.
- Cookies: small files used to keep the site working properly and to understand how visitors use it. You can block or delete cookies in your browser settings; the site will continue to function.
We do not sell, rent or trade personal information. Ever.
2. Why We Collect It
- To respond to quote requests and other inquiries;
- To provide, coordinate and dispatch freight, warehousing and distribution services;
- To prepare invoices, process payments and maintain business records;
- To communicate service updates, delivery confirmations and operational notices;
- To meet legal, regulatory, safety and insurance requirements applicable to commercial carriers in Alberta and Canada;
- To improve our website and services;
- With your consent, to send occasional service or company updates (you may unsubscribe at any time).
3. Consent
By submitting a form on this website, contacting us, or engaging our services, you consent to the collection, use and disclosure of your personal information for the purposes described above. Where we rely on implied consent, we only do so where the purpose would be considered obvious and reasonable. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice; note that withdrawing consent may limit our ability to provide services to you.
4. Disclosure of Personal Information
We disclose personal information only when needed to deliver our services or when required by law, including to:
- Service providers who support our operations — for example, website hosting, email services (Microsoft 365), accounting and payment processing. These providers are only given the information necessary to perform their function.
- Carrier partners and subcontractors engaged to complete a shipment (e.g., a delivery contact name and phone number on a bill of lading).
- Legal and regulatory authorities where disclosure is required or permitted by law, such as in response to a court order or a lawful safety investigation.
Some service providers may store or process information outside of Alberta or Canada (for example, cloud email servers). Where they do, that information is subject to the laws of those jurisdictions. We take reasonable steps to ensure comparable protection through contractual and security safeguards.
5. Safeguards
We protect personal information with safeguards appropriate to its sensitivity, including access controls (information is available only to personnel who need it), password-protected and encrypted systems, secure transmission (HTTPS) on this website, and physical security at our facilities. No method of transmission or storage is completely secure, but we review our practices regularly and will notify affected individuals and the Office of the Information and Privacy Commissioner of Alberta of any breach creating a real risk of significant harm, as required by PIPA.
6. Retention
We keep personal information only as long as needed for the purposes above or as required by law. Shipping documents, proof-of-delivery records and invoices are retained to meet transportation, tax and insurance record-keeping requirements (generally up to seven years), after which they are securely destroyed or anonymized. Quote inquiries that do not become shipments are retained for a reasonable period in case you follow up, then deleted.
7. Your Rights: Access & Correction
Under PIPA you may request access to the personal information we hold about you, ask how it has been used and to whom it has been disclosed, and request correction of any inaccuracy. To make a request, contact our Privacy Officer using the details below. We will respond within 45 days as required by PIPA. We may charge a reasonable fee for access requests where permitted, and will provide an estimate in advance.
8. Third-Party Links
Our website may link to third-party sites (for example, LinkedIn, Facebook, Instagram, WhatsApp or Google Maps). We are not responsible for the privacy practices of those sites and encourage you to review their policies.
9. Changes to This Policy
We may update this policy from time to time. The effective date at the top of this page will always reflect the current version. Material changes will be posted on this page.
